Event Policies
Cancellation
We understand that unexpected circumstances may force a registrant to cancel. Cancellations must be received in writing, via hello@dpcalliance.org or post. Substitutions may be made at no additional fee. If you have questions regarding administrative policies, contact the DPCA at (614) 699-3722.
In-Person & Virtual Cancellation Policy:
If you find it necessary to cancel your registration for an in-person workshop, the DPCA will refund your registration fee (less $50 administration fee) if you inform us on or before 14 days prior to the event. No refunds will be made after that point. There will be no refund for “no shows.”
Event Recording
The following guidelines apply to audio, video, and photographic recordings during the Direct Primary Care Alliance (DPCA’s) events. Additional guidelines on video, audio, and photographic recordings during specific DPCA events may apply. Depending on the event:
- The DPCA will record general and breakout sessions, unless prior arrangements are made between speakers and the DPCA.
- Official recordings will be created by the DPCA and made available to attendees following the event.
- The DPCA’s Press Policy details press recording restrictions.
Attendee Recording Restrictions:
- Attendees are prohibited from recording any events without the DPCA’s prior written approval.
- Unauthorized recordings may result in the attendee’s removal from the event without a refund.
Speaker Recording Rights:
- By agreeing to be recorded, speakers grant the DPCA the right to reproduce, distribute, display, and provide copies of their likeness and recordings of their presentation and presentation materials, in whole or in part.
Prohibition on Use of Video, Audio, or Other Content
Any use of any portion of video, audio, or other content from an DPCA event is strictly prohibited without the express written consent of the DPCA. This includes, but is not limited to, any reproduction, rebroadcast, retransmission, or distribution of the event in any manner or form. In addition, no person may copy, recompile, or create derivative works of any portion of the event and no portion of it shall be used by any party, directly or indirectly, for any commercial use or benefit without express written consent from the DPCA.
Personal Use Recordings:
- Photographs and brief video recordings for personal use are permitted in non-presentation areas (e.g., receptions, exhibit hall), provided they do not disrupt the activities or infringe on the privacy of other attendees.
Violations:
- Any individual found violating this policy may face actions including, but not limited to, removal from the event.

Use of Mobile App/Virtual Platform
Any mobile application or virtual platform used by the DPCA for a DPCA event may not be used for unsolicited marketing purposes (unless you have a pre-existing relationship with the recipient of your communication).
Event Registration
Passwords and other log-in information provided in conjunction with registration for and participation in the event are intended for use solely by the registrant to whom they are sent and may not be shared with anyone. Access to the event may be denied if the DPCA detects or suspects unauthorized use of such passwords and/or log-in information.
Privacy of Data Related to Events
The DPCA may provide (i) name, title, and firm name to DPCA partners (sponsors or exhibitors of our events), event speakers, and event attendees, and (ii) with consent, email address of event attendees to DPCA partners. The DPCA will not be responsible for or in control of third parties’ use of this information.
Event Code of Conduct
The Direct Primary Care Alliance seeks to provide a welcoming, respectful, and productive experience for its in-person and virtual event participants, regardless of gender, sexual orientation, disability, ethnicity, or religion. By registering for this event, you agree to conduct yourself in a professional manner as outlined below.
Expected behavior:
- Be considerate, respectful, and collaborative.
- Refrain from demeaning, discriminatory, or harassing speech and behavior.
Unacceptable behavior:
- Intimidating, harassing, abusive, discriminatory, derogatory, or demeaning remarks or behavior.
- Offensive comments related to gender, sexual orientation, race, religion, disability; inappropriate use of sexual images in public spaces; deliberate intimidation, stalking or following; harassing photography or recording; or sustained disruption of presentations.
This includes event-related social events at off-site locations, and in event-related online communities, chats, and social media.
Consequences of unacceptable behavior:
Unacceptable behavior will not be tolerated. Participants asked to stop such behavior are expected to comply immediately. Participants in violation of the DPCA Event Code of Conduct may be expelled from the event without a refund, and/or banned from future DPCA events, at the sole discretion of the DPCA.

Medical Release
Registration and attendance at or participation in DPCA live events constitutes an agreement by the registrant that they are participating in the event of their own free will. While the DPCA does its best to provide the safest possible environment for events, the registrant acknowledges freely and knowingly that as a result of their registration and participation, they assume responsibility for their own well-being and safety, releasing the DPCA of any harm.
